Bookings
Once a provisional booking has been agreed and a booking form/Contract is provided. This form must be completed by a member of the party (hereafter known as 'the Guest'), who must be at least 25 years of age. The completed form and deposit must be returned to us (hereafter known as 'the Owners') within Five days of the provisional booking. All future correspondence will be with the Guest.
Confirmation of your holiday will be sent in writing upon receipt of completed booking form and cleared funds as described in Payments. The issue of this confirmation constitutes a contract between the Owner and the Guest, which is governed by English Law.

Rental Payment
If the booking is made within 8 weeks of your arrival at Charter House full payment is required with the completed booking form. In all other cases a deposit of 25% of rental fee is required. This must be received within five (5) days of booking the holiday property along with a completed rental agreement/booking form
The remaining 75% of the rental cost will become due no later than 8 weeks prior to your stay at Charter House.
In the event of full payment not being made by the due time the Owner reserves the right to cancel the booking. Any deposits will be forfeited and the Customer will be required to pay cancellation charges in accordance with Cancellations. We are also happy to take split payments.

Damages deposit
8 weeks prior to your arrival at the property a damages deposit of £300 is also due, however, it is fully refundable within (14) days of your departure from Charter House, less any costs incurred, including but not limited to accidental damage to the property and any contents, excess cleaning, loss/non return of keys, provided the following provisions are met:
• No damage is done to property or its contents, beyond normal wear and tear.
• No charges are incurred due to illegal activity, pets or collection of rents or services rendered during the stay.
• All debris, rubbish and discards are placed in the appropriate recycling/rubbish bins/bags that have been provided and placed outside, for collection .This includes clearing up the gardens after your dogs and disposing of their mess by putting it in an appropriate bin, and that the dogs have not been upstairs or on furniture.
• Soiled dishes are placed in the dishwasher and cleaned and that the oven has also been cleaned.
• All keys are left in the key safe and all external doors are locked and the windows are closed.
• All charges accrued during the stay are paid prior to departure.
• No linens are lost or damaged.

• No early arrival or late departure, unless by prior agreement if this is not the case an extra charge may be incurred.
•The renter is not evicted by the owner (or representative of the owner) or local law

Accommodation
Access to the property is available from 16:30pm on the first day of rental and must be vacated by 10:30am on the agreed departure date. This allows cleaning and preparation for the next guests to take place.
The property is reserved exclusively for those people and pets named on the booking form and no other persons/pets are permitted to stay there unless this has been agreed in writing with the Owners prior to the rental period.
Should guest cause a public disturbance or become a nuisance to the neighbours including excessive noise then they will be in reach of their agreement which may result in termination and eviction without refund and extra charges may be made for security and other expenses.

Maximum occupancy
The maximum number of guests is limited to Eleven (11) persons. An additional charge of £25per person per week for guests in addition to the eleven (11) will be charged. If more people than expected number of guests arrive then we may refuse entry or charge the over occupancy fee.

Smoking
This is a NON SMOKING property. We do not mind you smoking outside in the gardens but ask that you clear up after yourselves. Any evidence of smoking inside the property may incur extra cleaning fees.

Pets
A maximum of 2 dogs are permitted to stay at Charter house only with prior approval, a £10 per pet per week fee applies (if more pets than expected are brought then we will charge you a fee of £20 per pet per week over the agreed amount.
Pets are not allowed on furniture or upstairs at any time. Any evidence of pets on furniture may incur extra cleaning fees and will result in a deduction from the deposit being made.
Pet owners are responsible for cleaning up any/all pet refuse and disposing of it in the correct way.
Pets should not be left unattended in the house or gardens.
All pets are to be treated with Advantage or similar flea and tick repellent three (3) days prior to arrival. Fleas and ticks can be very rampant in this area and can cause harmful/fatal illness to humans and pets.
All items above are the sole responsibility of the pet owner.
Please remember that the next people staying in the house could have children but not dogs

Changes made by the customer
The Owner will endeavour to facilitate any changes requested after the booking has been confirmed in addition to any extra payments that become due. The alteration will be effective as soon as the Owners send written confirmation to the Guest of the change. Any change must involve taking the revised rental period in the same season as that originally booked.

Cancellations made by the customer
Cancellations must be made by registered post and signed by the Customer. Cancellations will become effective from the delivery date of the cancellation letter. All cancellations are subject to a charge payable by the Customer as detailed below. The booking deposit is non refundable and you may still be liable for the full cost of the house if you are in the unfortunate position of having to cancel your booking and we are unable to re-rent the property.

Cancellation costs:
If you cancel or the balance is not paid on time, the booking fee/deposit will not be refunded.
If the balance payment is not received 8 weeks before the holiday starts then the booking may be cancelled and no monies will be refunded.
If you have paid the full balance you will receive
A 50% refund of the total cost if you cancel at least 6 weeks before the start of your holiday, or
A 25% refund of total cost if you cancel up to 4 weeks before the start of you holiday.
There will be no monies refunded if you cancel your holiday with in 28 days of your arrival unless we are able to rebook the dates.

Inclusive fees
Rates include a one-time linen (not cot bedding) & towel setup.
Heating oil for the central heating
Gas, Electric and required baby equipment.

No daily housekeeping service
While linens and bath towels are included in the unit, daily maid service is not included in the rental rate. We suggest you bring beach towels. We do not permit towels or linens to be taken from the property.

Changes/cancellations made by the Owner
If circumstances beyond the Owner's control should make the rental home unavailable, then the Guest will be advised as soon as possible. Alternative accommodation of at least comparable standard will be offered if available, or a refund of monies paid unless the change/cancellation arises from reasons of 'Force Majeure'.

Complaints
If there are any problems with the rental home during the rental period, the Guest must inform the Owners immediately. If the matter is not resolved, the Guest must follow up the complaint in writing to the Owners within 14 days of the end of the rental period.
If the problem has not been reported as detailed in this clause then the Owners cannot accept responsibility for any claims or complaints.

Liabilities
The Owners do not accept any responsibility or liability for acts of omission of third parties, which may prevent or disrupt a client's booking. The booking contract exists between the Owner and the Guest and is limited to the rental of the property and associated services only. The information and descriptions supplied here are believed to be accurate and offered in good faith. Certain features or facilities may not be available from time to time due to circumstances beyond our control for which the Owners accept no liability. In addition no liability can be accepted by the Owner for any illness, injury, loss or damage to the Guest, any member of the Guests Party, pets or any visitor to the rental home, arising out of or in connection with the use of the rental property.
The safety of the children staying at Charter house is the responsibility of the accompanying adults.

Force Majeure
No liability can be accepted by the Owners where the contract is affected by 'force majeure'. In the context of these terms and conditions, 'force majeure' is any event that the Owners could not, even with due care, foresee or avoid. These events include but are not limited to war, threat of war, riot, civil commotion or strife, hostilities, industrial dispute, natural disaster, fire, acts of God, terrorist activity, nuclear disaster, adverse weather, government action, technical problems with transportation or other events outside the Owners control.
