Early check-in or late checkout is available in some circumstances.

Data Protection: The information supplied in the booking process will be stored on our computer for the purposes of future distribution to you of our advertising material if you have requested this, and under no circumstances will be passed on to a third party.

Booking Request (if booked directly with owners)
The booking process used on this site is a ‘request’ for accommodation only. Completion of the booking request process does not guarantee availability of the accommodation. Once a request has been received, we will confirm availability and price of the accommodation. If you want to go head and book the property, we will then send a payment request.

Agreement
The agreement is for the rental of Charter House for a short-term holiday letting and will be formally entered into between Charter House (hereafter known as 'the Owners') and the guest when the required deposit payment has been received. When the payment has been made and cleared (as described in Payments we will confirm your booking and an online booking Form/Contract will be required, this form must be completed by a member of the party (hereafter known as 'the Guest'), who must be at least 25 years of age.  
All future correspondence will be with the Guest. The issue of this confirmation constitutes a contract between the Owner and the Guest, which is governed by English Law.
The named booker is responsible for all payments & must ensure that accompanying guests abide by these Terms & Conditions.
 
Rental Payment
A deposit of 25% of the total cost will secure the booking and needs to be made within five days of the date the booking is acknowledged by Charter House Holiday Rental Devon. The booking will be held for that time but not fully secured until the deposit is received.
The balance of the total will be due for payment eight weeks before the start of the holiday. If the booking is made within eight weeks of the start of the holiday the full amount for the booking must be paid.   
If the deposit is not paid within 5 days, then the booking will automatically be forfeited (unless you have advised the owners of the delay and the revised payment date).  
Failure to make full payment of the balance in the time period stated above will result in the booking being cancelled and the deposit being forfeited in accordance with Cancellations. (Unless by prior arrangements).
 
Please remember to take out adequate Holiday insurance.

Damages deposit
2 weeks prior to your arrival at the property a damages deposit of £250 is also due, however, it is fully refundable within (14) days of your departure from Charter House, less any costs incurred, including but not limited to accidental damage to the property and any contents, excess
 
·         No damage is done to property or its contents, beyond normal wear and tear.  
·         No charges are incurred due to illegal activity, pets or collection of rents or services rendered during the stay.  
·         All debris, rubbish and discards are placed in the appropriate recycling/rubbish bins/bags that have been provided and placed outside, for collection. This includes clearing up the gardens after your dogs and disposing of their mess by putting it in an appropriate bin, and that the dogs have not been upstairs or on furniture.
·         Soiled dishes are placed in the dishwasher and cleaned and that the oven has also been cleaned.
·         All keys are left in the key safe and all external doors are locked and the windows are closed.
·         All charges accrued during the stay are paid prior to departure.  
·         No linens are lost or damaged.  
·         No early arrival or late departure, unless by prior agreement if this is not the case an extra charge will be incurred.
·         The renter is not evicted by the owner (or representative of the owner) or local law
·         Any costs will be advised before being taken from the damage deposit and proof of damage and costs supplied where possible. Photographs will be taken as proof of the damage.
 
Arrival and Departure
The property will be ready for your arrival after 4.30pm and needs to be vacated by 9.30am on your day of departure to allow for a full clean and changeover, unless otherwise agreed with owner.  Earlier arrivals and later departures are sometimes possible but this will depend on adjacent bookings for an extra fee (hourly rate) and is at our discretion.
 
Accommodation
Access to the property is available from 4:30pm on the first day of rental and must be vacated by 9:30am on the agreed departure date, this allows cleaning and preparation for the next guests to take place. If you require early arrival or late departure then in certain circumstances this can be arranged for a fee…. Please contact us.
The property is reserved exclusively for those people and pets named on the booking form and no other persons/pets are permitted to stay there unless this has been agreed in writing with the Owners prior to the rental period. Owners reserve the right to refuse admittance if this condition is not observed.
Should guest cause a public disturbance or become a nuisance to the neighbours including excessive noise then they will be in breach of their agreement which may result in termination and eviction without refund and extra charges may be made for security and other expenses.
You must not use the property except for the purpose of a holiday during the holiday period, and not for any other purpose.
It is important that any problems are reported straight away whilst you are in the house so that we can try to rectify them. We can not be held responsible for anything that we have not been informed about during your stay.
 
Maximum occupancy  
Under no circumstances may more than the maximum number of persons stated, in this case 11 + 1 cot sleeping infants (under age of 2 years) + 2 dogs occupy the property. We reserve the right to refuse admittance or terminate your holiday without reimbursement if this condition is not observed. Only guests listed on the booking form are allowed to stay at Charter House unless we are informed and agree to the extra guests Prior to arrival  
This is an important insurance requirement.

Care of the property
You are responsible for the property and are expected to take all reasonable care of its furniture, pictures, fittings and effects, in or on the property. - Please leave all equipment and utensils etc, and the property itself, clean and tidy at the end of your stay. Fireworks, Chinese lanterns, dye (including hair dye) and felt pens must not be used. All damages/breakages should be reported as soon as they occur. we reserve the right to charge for any serious damage/breakages/extra cleaning which is deemed outside the normal wear and tear and hirers are deemed jointly and severally liable. See damage deposit above.
You must not use the property for any dangerous, offensive, noxious, noisy, immoral activities or carry on any act that may be a nuisance or annoyance to the owner or other neighbouring properties, this would be deemed a serious breach of the terms of the Agreement and the owner has the right to terminate the Agreement with immediate effect in this instance.
 
Smoking
This is a NON-SMOKING property. We do not mind you smoking outside in the gardens but ask that you clear up after yourselves. Any evidence of smoking inside the property may incur extra cleaning fees.

Pets
No pets other than dogs are permitted. We do not accept puppies under six months old. We reserve the right to refuse certain breeds of dog that we deem inappropriate, this includes any breed/crossbreeds listed in the Dangerous Dogs Act, and/or any of the following: Staffordshire bull terrier, American Staffordshire terrier, Rottweiler, any Mastiff or Tosa, unless by prior agreement. Aggressive or noisy dogs are not tolerated. Please contact us directly in advance of booking to discuss.
A maximum of 2 clean, fully house-trained dogs are permitted to stay at Charter house for a fee of £2 per night per dog. (if more pets than expected are brought then we reserve the right to refuse admittance to the property)  
Pets are not allowed on furniture or upstairs at any time. Any evidence of pets on furniture may incur extra cleaning fees and will result in a deduction from the deposit being made.  
Your dog must not be allowed to interfere or cause distress to our neighbours.  
Badly behaved dogs and their owners will be asked to leave.
Your dogs maybe unsettled when they are in a strange environment so we ask that you do not leave them alone in the house or garden for long periods of time. We understand that you may not want to take them with you when going out for a meal in the evening so we are happy for you to leave them in the kitchen/utility room for a couple hours
All pets are to be treated with Advantage or similar flea and tick repellent three (3) days prior to arrival. Fleas and ticks can be very rampant in this area and can cause harmful/fatal illness to humans and pets.
Pet owners are responsible for cleaning up their dog’s mess anywhere on the property and disposing of it in the correct way. If left for us to clear up we will charge a £50 fee to your security deposit.  
All items above are the sole responsibility of the pet owner, the owners can ‘t accept responsibility for your dog’s safety.
Please remember that the next people staying in the house could have children but nay not have not dogs.
 
Changes made by the customer
The Owner will endeavour to facilitate any changes requested after the booking has been confirmed in addition to any extra payments that become due. The alteration will be effective as soon as the Owners send written confirmation to the Guest of the change.
 
Please remember to take out adequate Holiday insurance.
 
Cancellations made by the customer
The lead Booker needs to inform us immediately if they wish to cancel their booking by sending us an email to enquiries@holidayrentaldevon.co.uk. We will respond to your email within 24 hours. If you don’t receive a response within that time then please contact us by phone 01392 2580852. We will not be held responsible for non-receipt of emails sent by the lead booker.
Cancellations will become effective from the date of confirmation of cancellation. All cancellations are subject to a charge payable by the Customer as detailed below. The booking fee/ deposit is non-refundable and you may still be liable for the full cost of the house if you are in the unfortunate position of having to cancel your booking and we are unable to re-rent the property.  
Please remember to take out adequate Holiday insurance.
 
Cancellation costs:
If you cancel or the balance is not paid on time, the booking fee/deposit will not be refunded.
If the balance payment is not received 8 weeks before the holiday starts then the booking may be cancelled and no monies will be refunded.
If you have paid the full balance you will receive: -
• A 50% refund of the total cost if you cancel between 64 days – 43 days before the start of your holiday, or
• A 25% refund of total cost if you cancel 42 days – 29 days before the start of you holiday.
• There will be no monies refunded if you cancel your holiday 28 or less days of your arrival. In all cases of cancellation there will be a £25 admin fee.
 
Facilities & services
Rates include a one-time linen (not cot bedding) towels are not included (hand towels are provided in the bathrooms). Please do not take hand towels or linens from the property.
Heating oil for the central heating
Electric which is subject to fair usage, this worked out on the maximum daily usage as shown on the electric suppliers’ website (Octopus Energy). Any usage over this maximum rate is charged at cost price. We do not have electric vehicle charging facilities. Vehicles can not be charged via the domestic sockets, as this could potently be a health and safety issue which we are not insured for and as a result you would be liable.

Wi-Fi
Please note that we do not supply wood for the wood burner.
We cannot be held responsible for any 3rd party breakdowns, malfunctions or cuts of utility services such as electricity, oil, water supplies although every attempt will be made to remedy a problem where possible should it occur. In the case of television and telecommunications (mobile reception, Wi-Fi/ Broadband) we cannot be held responsible for the services. We expect these services to be operating as normal for all our guest’s enjoyment, but these can be subject to interruption in rural areas. Every effort will be made to resume the services but no refunds can be made for interruptions of these services.
 
House keeping
We do not offer housekeeping services.
Whilst bed linen is provided, please ensure that all beds that need extra protection from soiling/wetting are adequately protected by brining your own waterproof bedding.  
Any mattresses found soiled or wet will be replaced and guests will be charged for the cost of replacement.
Please put all rubbish and recycling in the designated containers (provided) and place out for collection on appropriate days (as listed in the welcome document).
Changes/cancellations made by the Owner
If for any reason we have to cancel your booking in advance due to circumstances beyond our control due to “force majeure “you will be refunded the monies paid on the day of your excepted arrival. If we have to terminate your holiday early you will be refunded part of the booking fee based on the time remaining of the booking. No additional compensation, expenses or costs will be payable.
 
Force Majeure
No liability can be accepted by the Owners where the contract is affected by 'force majeure'. In the context of these terms and conditions, 'force majeure' is any event that the Owners could not, even with due care, foresee or avoid. These events include but are not limited to war, threat of war, riot, civil commotion or strife, hostilities, industrial dispute, natural disaster, fire, acts of God, terrorist activity, nuclear disaster, adverse weather, government action, technical problems with transportation or other events outside the Owners control.
If We are unable to fulfil your booking or you are unable to come and take your stay due to Official Government restrictions your deposit will be fully refundable, we can reschedule your booking or refund you in full.
